Finance FAQs

Purchase orders can be raised by contacting the Deiniol Road finance hub with your requirements. Please forward the details of the purchase, along with any quotes you have received. Please include the cost, delivery location as well as confirmation from the budget holder that they approve the purchase – e.g. An email from your supervisor confirming they authorise a purchase from your bench fee account.

It is worth noting that bench fee arrangements differ for different PGRs depending on your funding source.  Most PGRs funded by Research councils, e.g. through Doctoral Training Partnerships won’t have bench fees as such, but will be able to draw on Research Training Support Grants – contact your DTP/DTC lead.  Self-funded PGRs and those funded by other sources will normally have bench fees.

Contact your CoSE school accountant to find out your cost code as you’ll need this to make purchases, and raise a purchase order for the item(s). Your supervisor will normally be able to approve expenditure from your bench fees.  

If you have a College S* code (this includes all self-funded students and those funded from NERC Envision, STARS and CDT programmes), please contact your school accountant to find out the balance on your bench fees. All other grant-funded studentships within CoSE with R*/J* codes are reported by post-award staff in IRIS and you need to email cose-postaward@bangor.ac.uk.

Small purchase can be made and claimed back using a T&S claim form, but where possible purchases should always be made through the Deiniol Road finance hub.

When visiting remote areas where receipts aren’t provided then numbered receipt books can be used. They can write out receipts themselves and ask the receiver to sign them.

No. First of all, where possible you should use the actual cost you paid for the foreign currency using e.g. credit card receipts or bank statements. The XE.COM site also provides a document that you can populate and converts line by line. If it can be evidenced that the currency rate does not fluctuate then the items of small value can be converted together.

Booking Business travel FAQs

Due to sector wide issues at the moment, where travel bookings are urgent and Diversity are non-responsive, individuals can obtain their own arrangement and book via the Hub.

b)    I’m short of money, can I get an advance to buy the tickets, or claim back the costs before I have been to the conference?
The Deiniol Road finance hub are able to book train tickets. Advances are not available for UK travel.
