Confidential Waste
There are 2 streams of Confidential waste in the University.
First, we have 78 confidential waste consoles that are located in most buildings across campus. They get emptied by Facilities staff on a weekly/fortnightly basis. The collected bags are sealed and Security tagged before being locked away safely, but any staff or student can request the console to be emptied sooner by emailing the Campus Services Helpdesk.
Secondly, there are bulk confidential waste collections (for office clear-outs) whereby staff can request bulk bags and security tags via the Campus Services Helpdesk giving 7 days to fill and return the bags, (full or empty). These are delivered and collected by Facilities staff on Tuesday and Wednesday only.
All weekly collected confidential waste gets shredded on-site. The University uses an external contractor to dispose of confidential waste. This service is centrally coordinated by Campus Services and a Certificate of Destruction is issued whilst on site.
Campus Services use the Planon System to arrange delivery and collection of confidential waste bags and tags, the whole process is tracked from bag and tag issue through to destruction.
There are recent changes to data protection legislation, with the General Data Protection Regulation (GDPR) and new UK data protection legislation. The requirements of GDPR have made it even more important to ensure that our personal/sensitive and confidential information is held and disposed of securely. This material would include student and staff names, addresses, contact details, performance information, salary information, medical and equalities information, or any other ad-hoc identifiable information about an individual.
When requesting bulk confidential waste bags please make sure that your staff have access to a secure area in which to hold the bags until secure disposal has been arranged and the confidential waste is collected by Campus Services. It is your responsibility to look after the information until it is handed over.
